Audio Visual Partner

This procurement is for an AV partner to ensure that all equipment is supported, configured and to have expertise on hand to support Ofcom ensure that any new kit is specified, tested, and installed correctly across all our offices.The scope of this contract will cover: 1. The Support services to maintain the existing audio-visual hardware and software that is currently installed across our offices. Ensuring all equipment is assessed, maintained and Ofcom is aware of warranty deadlines. 2. Undertake reconfiguration and future installations. 3. Design consultancy to assist Ofcom with implementing AV solutions for new and larger spaces. Additional information: This contract was let under CCs Framework RM6225 - Audio Visual Technical Consultancy & Commissioning. The fixed cost of the contract is £556,380 inc. VAT, for the full term 6-year term of the contact. However, the variable cost of the contract is estimated to £84k inc. VAT per annum, and approx. £500k over the life of the contract. This cost will only be incurred when a requirement is identified, and budget is available. There for the purpose of the procurement notice the estimated contract value is between £556,380 and £1,056,380 Inc. VAT. The higher figure is being advertised for the purpose of this notice.

Design, Installation and Maintenance of Office Audio-visual Solutions

NS&I requires a supplier to design, supply, install and provide ongoing support and maintenance, training materials and hands on instruction for audio visual solutions across all of its office locations (London, Durham, Lytham and Glasgow). NS&I's new London office space contains 4 rooms, and 3 collaboration areas that must be made compatible with MS Teams and M365 (calendar). One of these rooms is a 14 person board room, There are also two 10 person rooms and a 20 person room separated by concertina walls,  we want rooms to be used individually as well as together as a 40 person so the audio visual solution must be able to provide clear and reliable sound in both scenarios The office also contains a large collaboration space, with soft furnishings and a collaboration table, where we will also hold our Town Halls.   We need equipment so that a speaker (mostly our CEO) can be heard and seen both in the large collaboration space itself as well as by staff who are working from home or in one of NS&I's regional offices. There is no wired connectivity available therefore any proposed solution must be capable of operating over a shared Wi-Fi network. NS&I will work with its suppliers to ensure that appropriate wireless connections/capacity is available wherever equipment is to be located. NS&I require a solution that is as interactive as possible. There is potential for over 100 staff in the London office, and over 100 staff listening online, as such, NS&I require clear sound and good 360 viewing to be provided by fixed equipment that doesn't have to be put away at the end. A simple pre-configured and ready to use solution is favoured. NS&I's lease of the office space is for 6 years and so high quality and durable Audio-Visual equipment which will remain functional for at least the duration of the lease is required. This contract was awarded Procurement Services Audio Visual Solutions framework (Y24003) for an initial period of 12 months which will cover the design installation and maintenance of an AV solution in the new London office location. There are three available 12 month extensions and these would cover the maintenance of the London AV equipment and the design, installation and maintenance of AV solutions across NS&I's other offices.
