Media Monitoring and Database

The Historic England media team needs to source a media monitoring service to monitor the coverage we secure from proactive work and receive organically. We need to monitor national, regional and trade coverage in print, broadcast and online. We would also be interested in the possibility of monitoring international coverage. It should be a reliable service which covers a multitude of keywords that can be easily adapted based on our changing campaigns (and ideally at no extra cost). We would expect any supplier to have an extensive source list. We need to be able to demonstrate all coverage achieved in clear, succinct and eye-catching ways, including our regional coverage volumes which should be broken down by key English regions. We currently monitor and "tag" our coverage by theme, based on various areas of our work. This is done automatically through the media monitoring software and can also be done manually in the platform. This allows us to demonstrate how stories related to different themes of our work perform against each other, or which areas of our work the media cover most regularly. We would like this function to continue, or for a sensible replacement of this feature to be proposed. We need for a team of 10-12 colleagues to be able to access the platform and receive regular training for using the platform/getting the most out of the service. We also require that 15-20 people receive daily coverage alerts which are easy to read, broken down in a sensible way for quick accessibility, ideally with a one sentence or more summary for each headline in the roundup. We collate a summary of gained coverage for our organization every day. For this we share all manner of coverage, including broadcast clippings, so we require a quick and easy way to edit and share broadcast clippings within the platform. We would expect a high level of customer service support, with a named contact available to handle any issues we're having at any time. The contract for this would need to commence 1 July 2025. Duration 3 year. Renewable annually at Historic England's discretion. Three months' notice period. We also need to source a media database so the media team can research journalists and outlets across the UK to promote our stories. The database needs to be extensive with contacts for national, regional, local and trade outlets in the UK and, possibly international. Information about journalists and outlets should include contact details, subject areas covered and preferred method of contact. This database should be updated regularly. We need to be able to create themed lists of contacts within the database, which can be shared with all users at Historic England and also have the ability to add private contacts to the database. The media monitoring and database could be bid for separately or together. We will not give preference to either unless combining the two services provides additional benefits such as a discount ...
