Description

Monthly campaigns
      
      The fulfilment of the new memberships (circa 150k for 2021/22) and existing membership renewals (circa 400k for 2021/22), and trigger campaigns (circa 500k) is a core requirement of the marketing communications strategy for English Heritage Members. All campaigns are highly segmented with a large number of variables both in text, imagery and promotional offer, including 3rd party assets.
      
      The accuracy, efficiency, security and print production quality of the communications are vital in delivering the revenue, satisfaction and brand. English Heritage would like the tenderers to provide costs as described in the attached pricing schedule.
      
      In addition, turnaround times are critical in delivering English Heritage income.  Please provide the SLA's we can expect for each campaign. 
      
      Renewals
      Renewal packs are dispatched on a monthly basis - annual renewals are sent approx. 1st of each month with monthly renewals sent on approx. 28th of every month.  Circa 400k will be mailed in 2021/22, with seasonal fluctuations - see spread sheet in Appendix giving 2019/20 volume patterns. 
      
      The renewals are printed on A4 portrait letters with either one or two personalised membership cards affixed to the front.  The letter is digitally printed using a white paper solution and data driving the segmentation. The cards are simplex lasered with the membership details and bar codes. The letter and cards are matched up and inserted into a C5 window envelope. There are overseas Members as well as UK based which requires different outer PPI's. Reprints will be included in the files to be managed as part of their appropriate cell - approx. 2k per month.
      
      Reminder 1
      Reminder 1 is sent to those people who have not renewed and are sent around 5-8th of each month. They are mailed 2 months after the renewal mailing, on a monthly basis, approx. 2 weeks after the initial renewal date.  This is printed via a white paper digital solution, with data driving the segmentation.  Annual volume is approx. 100k
      
      Reminder 2
      These follow up Reminder 1 as a second prompt to non-renewers with an annual volume of 65k. The current format is a digitally printed A5 postcard.  
      
      Trigger mailings
      
      Events
      There are a series of event mailings which are sent to approximately 100,000 Members 5 times a year to promote events and seasonal activities. Different formats.
      
      Gift Aid
      There is an annual mailing to our Members who have yet to apply Gift Aid to their membership. The volume of the 2020 mailing was 80k. The format of this mailing is A4 - 1/3 A4 leaflet which is enclosed using a perforated tab. The mailing also included a pre-paid postage for the Member to return a form to us with their Gift Aid declaration included.
      
      Senior postcard
